Project Manager assistant

  • Position Overview

The Assistant Project Manager will work closely with the assigned Project Manager and will be responsible for tracking and managing all administrative aspects of multiple simultaneous projects. The Assistant Project Manager collaborates with other team members to identify needs, solve problems and support their project team in completing projects on time and on budget.

  •  Key Responsibilities

  • Provide general administrative support to Project Manager, Superintendent, and other members of the project team

  • Support the bidding process through bid preparation, bid calls, collecting and organizing quotes, contract writing, and permit and regulatory submissions

  • Facilitate project startup by setting up jobs in project tracking system and entering contracts

  • Track, review, and process change orders, work authorizations and submittals over the course of a project

  • Act as company liaison by communicating promptly with clients and subcontractors to ensure satisfaction and manage any requests

  • Work with accounting department to ensure proper and timely received and payment of invoices and bills and track payment requests and estimates

  • Manage closeout process by collecting and compiling closeout documents, warranties, and manuals

  • Requirements

  • 1-3 years of relevant experience in an administrative or project coordinator role. Experience in the A/E/C industry preferred but not required.

  • Proficiency in Microsoft Suite (Excel, Outlook, Teams, Word, etc.)

  • Strong attention to detail with the ability to prioritize and juggle multiple projects simultaneously

  • Excellent written and verbal communication skills

  • Ability to work under pressure and meet deadlines while maintaining excellent quality standards
